- Approval of December 9, 2000 meeting minutes. Motion by Dale, second by Mike to:

- Treasurer's Report - Tabled until next meeting as Dan was unable to make it. Chuck gave update on the Earthlink charges, staff retirement payments, and bookkeeping procedures. Board agreed that Chuck needs to sit down with Dan and address these issues with him.
- Director's & Officers Insurance Report - Tabled until next meeting.
- Region Privacy Policy - to be discussed in divisions. Most did not get to read it fully. Kevin will send email to Board of Directors with link to policy. The Board will have a week to read it and then vote electronically whether to accept.
- Region Logo - to be discussed in Divisions. Everyone liked #1. We'll get it in color and see what it looks like. Kevin will try to email it out to board for final vote.
- Sport Court Update - ECJVC is uncomfortable putting up legal fees when they are not certain the condition of the courts or whether we can even get them. Dale was able to talk with Phil at a tournament in Philadelphia recently. Phil said he was able to get the courts out of the facility but the landlord has impounded them and he does not have access to them. Phil realizes he owes the Region money and he is trying to negotiate their return. Fred suggested it may be time to bring in some legal advice to make sure we make a claim on these courts, especially if he's declared bankruptcy. We also can make a complaint to USA Volleyball as Phil does a lot Nationally and we could affect him there also. Chuck and Dale will continue to monitor the situation.
- Region Ball Sponsorship Proposal - Molten has submitted us a proposal to be the "Official Ball of the Carolina Region". Part of it deals with us receiving a kickback for balls sold to members in the Region. They would also donate balls to us for use in the Regional Championships. Chuck suggested taking our time with this proposal and try to work something out for next year. Fred suggested since this is the ball that will be played at Nationals, we might want to jump on this now. We might be able to advertise this as the ball being used at Regionals and Nationals and perhaps sell some balls (which we will receive money back for every purchase from members in the Region). They are sending Chuck some sample balls to evaluate. Tabled until February meeting.
- Image Sport Proposal - organization that sells things at tournaments on consignment. Chuck didn't feel it was appropriate for us at this time.
- Split into Divisions for discussions:
- Junior Division Report:
- Cold gym policy - all agreed that if someone complains about temperature then sweats can be worn even if don't match as long as uniform top is still visible. Motion from Division:
| Motion 2: to give Tournament Directors the authority to allow sweats to be worn in the event facility is too cold. Sweats do not have to match. Any sweats worn on the upper body must be under the uniform so the numbers remain visible. MSA |
- Junior Tournament Formats - at Coaches meetings teams will be notified that if the pool is not halfway done at 1:00 pm the tournament directors will have the option to poll coaches to change the games to 20 point games (majority vote wins). Motion from division:
| Motion 3: to give Tournament Directors option of polling the coaches to change the format at 1:00 pm if pool play is not halfway complete. If majority of coaches agree, then format may be changed to 20 point games starting at 5-5. MSA 5-4-5 |
- Discussed the payment policy for provisional and regional or above officials. Decided to continue to pay $90 for provisional and $115 for Regional and above. Intent is to reward those officials that have achieved the higher rating and to provide incentive for Provisional referees to improve their rating.
- Had a discussion about the junior club that wanted to register in Palmetto Region to play in the 12's. They never contacted us but request came from Palmetto Region. We will contact that club, see exactly what they wanted to do, and if appropriate offer them the one-event trial memberships that we have in place already for these circumstances.
- Division heard a petition from a junior team about a player that had attended a Community College for one month and dropped out. She met the age definition for 18's and team wanted to know if they could add her. Division decided that this player had been a college student and USAV guidelines for junior players prohibit college students to register as junior. Team will be advised that player can still join an adult team if she would like to continue playing.
- Adult Division Report:
- Thumpin' Melons player petition - player wanted to switch to another team. Motion from division:

- Regional Championships - set entry fee at $100. John will work with Division Reps to organize and run their Divisions.
- Susie volunteered to deal with Team Connections on the award shirts.
- John and Karl will work with Bread & Butter to design some shirts for sale.
- Moved Distinct Characters to Women's Silver.
- Do we have a standard sportsmanship letter to send to teams? Answer was no, but Susie will draft a letter and send to Kevin for proofreading and comments. We'll then send to teams that divisions feel need it.
- Uniforms - would like a note in the weekly email about shorts matching and use of biker shorts, etc. John will draft and send to Kevin for inclusion in next weekly email.
- Officials Division Report:
- Travel Policy - Motion from Division:
| Motion 5: to institute an Officials Travel policy to pay $10 per hour one-way with a maximum of 3 hours (minimum of 30 miles and 30 minute increments). Assigners will strive to carpool as much as possible so only driver gets travel. MSA |
- Motion from Division:
| Motion 6: to make the Travel policy retroactive to the January 6 and 20 tournaments. MSA |
- Other business - Petition from RCWVC. A team in their club was sanctioned for a late withdrawal from a tournament without notifying the Region or Tournament Director. They are protesting the sanction as they could not find this requirement in the Junior Team Handbook. Kevin pointed out where it says that Teams must notify the Region Office immediately if they are withdrawing from the tournament. Although doesn't specifically state $50 fine, the organization has right to impose sanctions for rule/policy violations. Motion by Susie, second by Mike to:
